Information we collect

We collect the following categories of information:

• Account information: when you sign in with Google, we receive your name, email address, and profile picture from Google’s OAuth service.
• Candidate information: recruiters using HireSpot enter candidate names, email addresses, phone numbers, and interview scheduling details directly into the platform.
• Interview content: code written during a live interview session, the resulting AI evaluation, and any resume files uploaded for a candidate.
• Usage and security data: IP address, browser user agent, and request logs, used for rate-limiting, fraud prevention, and security monitoring.
• Cookies: a single session cookie that keeps you signed in. We don’t use third-party advertising or tracking cookies.

How we use it

• To operate the interview platform — running live coding sessions, storing interview history, and generating reports.
• To automatically evaluate submitted code, which involves sending the candidate’s code (not personal contact details) to third-party AI providers (OpenAI and/or DeepSeek) for analysis.
• To send interview invitations and notification emails via our email delivery provider (SendGrid).
• To detect abuse, enforce rate limits, and investigate security incidents.

Third parties we share data with

We use a small number of service providers to operate HireSpot, and share only what each one needs to do its job:

• Google — authentication (OAuth sign-in).
• OpenAI and DeepSeek — automated code evaluation. Code submitted during an interview is sent to these providers for analysis.
• SendGrid — delivery of interview invitations and notification emails.

Data retention

We retain interview records, candidate information, and evaluation results for as long as the associated recruiter account remains active, or as required to provide the service. You can request deletion of your account and associated data by contacting [email protected].

Your rights

Depending on where you live, you may have the right to access, correct, or delete your personal information, or to object to certain processing. To exercise any of these rights, contact [email protected].
